How to Prepare Physical Products for a Commercial Shoot

A production-ready product register helps brands prevent missing variants, inaccurate colours and last-minute substitutions before a campaign shoot.

Create one product register

List every physical item expected on set. Give each sample a unique reference and record the product name, SKU, colourway, size, finish, campaign priority and current location. Add a photograph of the exact sample when similar variants could be confused.

The register should distinguish a hero product from a background or backup item. That priority affects prep time, handling, lighting tests and the order of the shot list.

Inspect condition before dispatch

Record scratches, creases, dust, incomplete packaging and visible manufacturing differences before the product travels. For fashion, check duplicates, steaming needs and whether styling alterations are allowed. For reflective or technical products, tell the production team which surfaces and details must remain untouched.

Do not assume a retouch can repair every problem. A clean replacement sample is usually safer than building the campaign around a damaged hero product.

Supply colour and brand references

Provide approved colour values, packaging artwork and the latest logo or label files. Note whether the physical sample is the final production version. If it is a prototype, identify every visible detail that differs from the product that will reach customers.

Plan duplicates and substitutions

Name the acceptable backup for each hero product and who can approve a substitution. Duplicates matter when the same item appears in wet, food, beauty, automotive or action setups where reset time or damage is possible.

Confirm arrival, custody and return

The production brief should state who ships the items, who signs for them, when they must arrive, where they are stored and how they are returned. Add customs documentation and serial numbers when relevant. This turns product handling into a controlled production task rather than an informal handover.
