Production Budget Assumptions: What to Confirm Before Approval

A useful production estimate makes its assumptions visible so the client can compare scope, identify risk and approve the right version of the job.

Tie the estimate to a dated scope

The budget should name the treatment, shot list or deliverables document it prices and the date of that version. If creative development is still open, identify the allowances used so they are not mistaken for confirmed requirements.

List schedule and working-day assumptions

Record prep, shoot and post-production days, working hours, turnaround expectations and the number of review rounds. Clarify whether the schedule assumes consecutive days, daylight, overnight work or travel days.

Make crew, equipment and location scope visible

State the scale of crew and the principal equipment or facility assumptions without reducing the estimate to unexplained package names. Identify the number and type of locations, access expectations, unit base needs and any unconfirmed permission or public-control costs.

Separate talent, usage and travel

Casting, performance fees, usage, exclusivity, fitting, travel and accommodation can change independently. Give each an assumption and approval owner. Do the same for visiting agency or client personnel when their number affects transport, hospitality or workspace.

Define post-production and delivery

List the included edit, grade, sound, retouching, VFX, generated work, language versions and final exports. State what material and feedback the client must provide and when.

Add change triggers

Name the events that require a revision: new deliverables, additional locations, longer usage, revised product, delayed approvals or a change in method. This gives both sides a practical way to update the budget without hiding the reason.
